Renewals
Section titled “Renewals”Renewal process — The process of the subscription creating its next order and the customer being charged. The renewal process can be triggered at any time for custom subscriptions by both the admin and the customer. Renewals can only be triggered by the admin for curated subscriptions.
Renewal date — The date that the customer will be charged. Renewal dates can be set at any time as per the customer or admin preferences.
Anniversary date — Similar to the renewal date, this is the date that the customer is next charged for custom subscriptions only. The anniversary date is the automatic date set when a customer first signs up and selects their custom frequency.
Order creation date — The date an order is generated for an upcoming renewal. Orders are created in advance of the renewal date by the number of days set in your Order Fulfilment Lead Time (7 days by default). The renewal process begins from this date.
Lead time — A configurable delay used in two places in winem8: between a reminder email being sent and an order being created, and between an order being created and the customer being charged. See Subscription Renewal Reminder Lead Time and Order Fulfilment Lead Time below.
Subscription Renewal Reminder Lead Time — The time between a reminder being sent (via Klaviyo) and an order being created. Setting this creates the Renew Custom Subscription Reminder and Renew Curated Subscription Reminder metrics in Klaviyo that you can use to trigger reminder emails to your customers before their next order is generated. Requires Klaviyo and only works when manual renewal of custom subscriptions is turned off.
Order Fulfilment Lead Time — The time between an order being created and the customer being charged for that order. Defaults to 7 days. Applies to both custom and curated subscriptions. A short delay (e.g. 1 day) gives you a window to cancel an order or update payment details before the customer is charged.
Manual renewal — A mode for custom subscriptions where the winery triggers all custom subscription renewals in one batch, rather than each customer’s subscription renewing on its own anniversary date. Customers no longer choose their frequency; the winery decides when everyone gets their next pack. See manual renewals setup.
Automatic renewal — The default behaviour for custom subscriptions, where each subscription renews on its own next renewal date based on the frequency the customer selected at sign-up. Orders are created and charged automatically according to your lead time settings.
Failed payment — A renewal attempt where the customer’s card could not be charged (e.g. expired card, insufficient funds). Winem8 will retry up to four times after the original failure: roughly 2 minutes later (to catch transient errors), then approximately 1, 3 and 5 days after the original failure. After five total attempts no further automatic retries occur. A failed transaction is recorded against the subscription and the Shopify order, and a notification is sent to Klaviyo so you can follow up with the customer.
Subscription vs Order
Section titled “Subscription vs Order”Order — A one-time purchase. In winem8, an order is created for each subscription renewal.
Subscription — An agreement for recurring transactions in the future. In winem8 a subscription has multiple orders that are created every time it renews, based on the frequency selected by the customer (or set by the winery).
Curated Subscriptions vs Custom Subscriptions
Section titled “Curated Subscriptions vs Custom Subscriptions”Curated subscriptions — Packs curated by the brand with their best or new products. The winery chooses what goes in the pack at renewal time, and all subscribers to that pack receive the same wines.
Custom subscriptions — Packs where the customer themselves selects which wines they would like to receive in every order, within the quantity, frequency, and product collection options the winery has configured.
Cancelling a subscription vs Cancelling an order
Section titled “Cancelling a subscription vs Cancelling an order”Cancelling a subscription — Cancels the entire subscription for a customer when they no longer want to receive wines from that subscription. No future orders will be created by winem8 once the subscription is cancelled.
Cancelling an order — Cancels a single renewal order for a subscription. Only the current renewal order is cancelled or skipped — the subscription remains active and a new order will be created at the next renewal date.
Winem8 Products
Section titled “Winem8 Products”Winem8 collection — The Shopify collection you select in winem8 settings to determine which products are offered to customers when building a custom pack. Curated packs are not restricted to this collection — they can use any product in your Shopify store.
Display product — A product in your winem8 collection that is shown to customers when they’re choosing wines for their custom pack. If no primary or secondary product is mapped, winem8 will use the display product itself (and follow its inventory) at renewal time.
Primary product — An optional mapping that tells winem8 which product to actually use in the order at renewal time, in place of the display product. Used while the primary has inventory. Must be the same price as the display product. Useful for offering a non-vintage display product but shipping a specific vintage.
Secondary product — A fallback mapping used when the primary product’s inventory is exhausted. Must be the same price as the display product. If both primary and secondary are out of stock, winem8 falls back to the display product itself.
Klaviyo
Section titled “Klaviyo”Klaviyo is the marketing automation platform winem8 integrates with for transactional and marketing emails. Connecting Klaviyo is optional but recommended.
Flow — An automated sequence of emails (and other actions) in Klaviyo, triggered by a specific event such as a winem8 metric being received (for example, winem8 - Renew Custom Subscription Reminder or winem8 - Payment Failure). Flows are how you send reminders, sign-up confirmations, and failed-payment notifications to your members.
Segment — A dynamic group of contacts in Klaviyo defined by criteria you set (e.g. everyone who has cancelled their subscription, or everyone with an active curated subscription). Membership updates automatically as contacts meet or stop meeting the criteria.
List — A static group of contacts in Klaviyo. Contacts are added and removed manually or through explicit signup forms, and stay on the list until they unsubscribe or are removed.
Shopify
Section titled “Shopify”Shopify is the underlying ecommerce platform winem8 runs inside. All product, customer, order, and payment data lives in Shopify.
Customer profile — A customer’s record in Shopify, containing their contact details, addresses, order history, saved payment methods, and tags. Editing a customer’s details (name, email, default address) is done in the Shopify customers area.
Order — A purchase record in Shopify. Every winem8 renewal creates a Shopify order, which is where you fulfil, refund, or cancel the renewal.
Segment — Shopify’s customer segmentation feature — a saved query that groups customers by criteria (e.g. all customers with the winem8Curated tag). Useful for marketing and reporting inside Shopify.
Customer tag — A label applied to a customer profile in Shopify. Winem8 automatically applies a subscription tag of either winem8Curated or winem8Custom(discount%) when a subscription is created, and updates it when the customer cancels or changes pack type.
